Sending documents

Create a reusable template

Save a PDF with fields for each signer role, then publish it for new documents.

In SignQuick, select Create Template in Templates, upload a PDF, place fields for each signer role, then publish it from Versions and publishing.

Who can use this feature?

Plans
All plans. How many templates you can keep depends on your plan. Custom variables need Pro or Team; system variables work on every plan.
Who can do it
Any active member can create and edit templates. The Owner can limit this with Who can edit templates? set to Only the owner and members granted Manage templates. Publishing a shared template also needs the Owner or Admin role.

Upload the template PDF

To keep the template to yourself, select Personal — only I can see this before you continue. Personal templates are hidden from your teammates.

  1. Step 1: In the sidebar, select Templates.
  2. Step 2: Select Create Template.
  3. Step 3: Upload a PDF of up to 10 MB.
  4. Step 4: Enter a Template Name.
  5. Step 5: Select Continue.

Result: Add Signature Fields opens, with Signer 1, Signer 2 and Signer 3 in Assign to.

Place fields for each signer role

  1. Step 1: In Assign to, choose Signer 1.
  2. Step 2: Place the fields Signer 1 completes, including a Signature field.
  3. Step 3: Repeat for Signer 2 and Signer 3 if more people sign.
  4. Step 4: In Manage Variables, add a variable for each value that changes between sends.
  5. Step 5: Select Create Template.

Result: SignQuick shows Template created! and returns to Templates, where the template shows Not yet published.

Publish the template

Published versions keep their PDF, fields and variables. After you change the template with Edit and Save Changes, publish it again so new documents use your changes.

  1. Step 1: In Templates, select the template's name.
  2. Step 2: In Versions and publishing, wait for the PDF preview to load.
  3. Step 3: Select Publish reviewed working copy.
  4. Step 4: In Publish this working copy?, select Confirm.

Result: SignQuick shows Your decision was recorded, and the template shows Published.

Common questions

Do I have to publish a template before I use it?

No. You can use a template that has never been published. SignQuick records its exact version when you start a document. After the first publish, new documents use the published version, so publish again after each edit.

Why can't I create or edit templates?

If SignQuick shows Template limit reached, you've reached your plan's template limit. If the page says You can view, download, and use accessible templates, the Owner has limited template editing. Ask them for Manage templates.
