About team roles and permissions
What Owners, Admins and Members can do, and how the Owner grants extra access.
SignQuick workspaces have three roles, Owner, Admin and Member, and the Owner can grant extra permissions through permission groups.
Who can use this feature?
- Plans
- Team. Free and Pro workspaces have one member.
- Who can do it
- Only the Owner manages permission groups, Document visibility and Document actions.
Owner, Admin and Member
Each workspace has one Owner, who can't be removed or given another role. Owners and Admins invite teammates and remove Members. Only the Owner changes roles and removes Admins.
Owners and Admins always see every document. They can always send, delete or void documents and manage integrations. Workspace policies don't change this.
Owners and Admins also manage branding, API keys and embedded-signing origins. Only the Owner always manages billing, templates and contacts. Others get billing from a permission group, and the rest from a group or a policy.
Permission groups
A permission group gives its members extra permissions on top of their role. The Owner creates groups on the Team page with Create permission group.
The permissions are Manage billing, Manage templates, Manage contacts, Send documents, Delete or void documents, View all documents and Manage integrations. Publishing a signing form needs the Owner or Admin role.
To start from a common setup, pick a preset: Sender, Reviewer, Integrations admin or Document viewer. Where documents are limited to their owners, Manage integrations also needs View all documents.
Workspace policies
The Owner also sets workspace-wide policies on the Team page. Each one either allows all active members or limits the action.
Document visibility sets whether members see every document, or only the ones they created or are responsible for.
Who can send documents and Who can delete or void documents can be limited to Owners, Admins and granted members. Who can edit templates? and Who can manage contacts can be limited to the Owner and granted members.
Role changes and removals
A role change keeps a teammate's permission groups and API keys. Removing a teammate revokes both, and returning members need new grants.
When a plan downgrade deactivates a member, their permission-group grants are removed too.
