Free Service Quote Template for Freelancers, with an Example

A service quote should tell the client what you will deliver, what it costs, what is excluded, and what happens next. Copy the free template below into your document editor, replace the bracketed details, and export a clean PDF.

You can use this original template for your own business quotes without a SignQuick account. The signing service has separate plans and limits.

  • Quote number: [reference]
  • Version: [number]

  • Excluded: [additional concepts, purchases, ongoing work, hosting, third-party fees, or other items not priced above]
  • Changes: [Explain how additional work will be scoped, priced, and approved before it begins.]

Schedule and client inputs

  • Proposed start: [date or trigger]
  • Milestones: [deliverables and dates]
  • Client inputs: [content, access, feedback, and required dates]
  • If inputs or approval are delayed: [how the schedule will be reviewed]

Payment and acceptance

  • Payment schedule: [amounts, due dates or milestones, and method]
  • Related agreement: [name/version of separate contract, or explain if one remains to be agreed]

[State what signing this quote is intended to accept, and any conditions that must be satisfied before work starts. Have the wording reviewed for your situation.]

  • Client representative: [name and role]
  • Signature: [space if required]
  • Date: [space if required]

Delete unused sections and resolve every placeholder before sending. Do not leave “taxes to be confirmed” beside a total that appears final. If the tax treatment is still unknown, make the quote’s provisional status clear and resolve it before requesting final acceptance.

A filled example: a one-page service website design

The following names, fees, and dates are fictional. The amounts demonstrate arithmetic and scope definition, not market rates.

Quote SQ-EX-014, version 1

  • Issued: October 12, 2026
  • Valid through: October 26, 2026
  • Provider: Rowan Design Studio
  • Client: Pine Street Workshop
  • Currency: USD
  • Deliverable: Design for one service landing page, supplied as desktop and mobile layouts in a shared design file, plus PDF previews. This is a design engagement; coding and hosting are excluded.
ServiceQuantityUnit priceLine total
Content structure and wireframe1 packageUSD 300USD 300
Desktop and mobile page design1 packageUSD 600USD 600
Additional launch graphics2 graphicsUSD 75USD 150
  • Subtotal: USD 1,050
  • Discount: USD 0
  • Tax for this arithmetic example: USD 0; this is not a tax determination for your work
  • Illustrative total: USD 1,050
  • Included: One kickoff call, two consolidated revision rounds, and final design-file handoff.
  • Excluded: Copywriting, logo creation, development, hosting, paid assets, and ongoing maintenance.
  • Schedule: First design within seven business days after the agreed start conditions are met. Final handoff within three business days after the last consolidated feedback round.
  • Client inputs: Approved text, logo files, and images before the design period begins. A change in inputs or review timing requires a revised delivery schedule.
  • Payment: USD 420 at the agreed start milestone and USD 630 at final handoff, using the payment method established in the separate service agreement.
  • Acceptance: The parties will confirm the scope and price and complete the separate service agreement before work begins. Requested additions will be priced and approved separately.

Notice what makes this useful: “one landing page” has a defined output, the revision allowance is explicit, and development is excluded. A price alone would leave all three open to interpretation.

Quote, estimate, proposal, or invoice?

Use the label that matches the action you want from the client.

DocumentPractical purposeReader’s next step
EstimateDiscuss an expected range before details are settledConfirm assumptions or provide missing information
QuotePresent defined work and a price for reviewAccept the stated terms or request a revision
ProposalExplain the approach, options, and commercial offerChoose an approach and resolve terms
InvoiceRequest payment under the arrangementPay or raise a billing question

Names alone do not determine legal effect. A quote can create obligations depending on its terms, acceptance, and applicable law. Decide whether yours is the agreement or supports a separate agreement; do not promise “non-binding” status simply by choosing a heading.

Australia’s business.gov.au quote checklist is a useful primary reference for clear scope, itemized costs, dates, and acceptance details. Its local tax and legal guidance is jurisdiction-specific; the template here does not transplant those requirements to your country.

How to turn the quote into a signature request

In SignQuick, start a new document and choose Build quote if you want to prepare the commercial offer in the product. Enter the client and project details, currency, line items, validity date, and notes. Review the totals and the exact generated PDF before selecting it for the signing workflow.

The worked example from this article on the Build quote tab: three line items are typed, the Quote summary ticks up to a Total of $1,050.00, and Create PDF makes the file. Demo data.

For the template above, the simplest alternative is to complete it in your document editor, export the PDF, and choose the upload path. That gives you control over all sections, including exclusions and the separate-agreement reference.

Add the intended recipients, assign signature and date fields where needed, and review the request before sending. The help center lists the current steps for sending a document. A signature request does not collect your deposit by itself. Use your agreed payment process separately.

If you change the fee or deliverables, give the replacement a new version number and tell the client which request is current. Preserve any already signed record. Our proposal-builder guide explains the product path, while getting a client contract signed covers the broader signing process.

Before sending the quote

Check the math, currency, tax treatment, included revisions, third-party costs, client dependencies, and meaning of acceptance. Read the PDF on a small screen to catch tables that are difficult to read.

If the work needs broader terms about ownership, confidentiality, termination, or liability, address them in the appropriate agreement. The freelance contract starting point can help you identify those subjects; this quote does not settle them automatically.

Frequently asked questions

What should a freelance service quote include?

Identify both parties, the quote number and date, the exact deliverables, quantities and prices, currency and applicable taxes, exclusions, schedule, payment terms, validity date, and the intended acceptance process.

Is a quote the same as an invoice?

A quote presents proposed work and pricing for review. An invoice requests payment under the arrangement. Label the document clearly so the client knows what action is expected.

Is this template free to copy?

Yes. You can copy and adapt this original SignQuick template for your own business quotes without creating an account. SignQuick's signing service has its own plans and limits.

Does the example price represent a recommended freelance rate?

No. All names and amounts in the worked example are fictional. Calculate your own price from the work, costs, capacity, and commercial terms.

Can a client sign a quote online?

You can prepare a final quote PDF and request a signature. State what acceptance means and whether a separate contract is required; legal effect depends on the document and circumstances.
